Common Charges and Fees in Housing

McKendree University strives to maintain safe, comfortable, and well-kept residential facilities that reflect pride in our campus community. To ensure rooms and apartments remain in good condition for all residents, students are responsible for the care of their assigned spaces and for any damages, losses, or excessive cleaning required beyond normal wear and tear.

The following list outlines common cleaning and damage charges. These amounts are provided for reference only. Actual costs may vary based on the extent of work, time required, materials, and vendor rates. While the Office of Residence Life typically facilitates the application of charges, final costs are often determined by the Physical Plant.

 


Reporting Damages and Maintenance Concerns

Residents are encouraged to report maintenance issues or damages as soon as they are noticed to prevent further deterioration or safety concerns.

  • Routine repairs (e.g., lights, plumbing, furniture, HVAC): Submit a Physical Plant Work Order through the MyMcK portal by selecting the Submit a Work Order tile.  If you need assistance with putting in a service request, please contact Physical Plant at 618-537-6969 to speak with the Physical Plant Office Coordinator.

  • Urgent or emergency issues (e.g., leaks, broken locks, no heat/AC, electrical hazards): Contact the Physical Plant at 618-537-6969 during business hours.

  • After hours or weekend emergencies: Contact Public Safety at 618-537-6911 or the Residence Life duty phone listed in your hall.

Prompt reporting helps avoid additional damages and potential charges. Unreported issues that worsen over time may result in shared or individual billing.

 


Policy or Process-Related Charges

    • Room condition report not completed within 72 hours: $15.00

        • Each resident must complete a Room Condition Report (RCR) within 72 hours of move-in to verify the room’s condition. The RCR verifies the condition of the assigned space and protects the student from being charged for pre-existing damages. Failure to submit the report on time results in this fee.
    • Improper Check-in/Checkout: $150.00

        • All students are expected to follow check-in and checkout protocols.  These are typically posted/provided  in multiple formats including via McK email, on the Residence  Life Website, on posted bulletin boards, and/or in-person meetings.
        • This may include failing to schedule a checkout appointment, not turning in keys on time, or any other instance of not following approved procedures.
    • Approved Early Arrival (per day): $25.00

        • Charged for moving in before the approved move-in date with prior authorization.
    • Approved Extended Stay (per day): $25.00

        • Charged for remaining in housing beyond the designated checkout date with prior authorization.
    • Improper/Unapproved Stay (per day): $150.00
        • Charged when a student occupies their space outside of the approved housing dates without prior authorization—whether arriving early or staying late. This higher rate reflects the staffing, safety, and policy enforcement demands associated with unapproved stays.

Cleaning-Related Charges

    • General cleaning (per hour): $30.00

    • Property removal (bag/box): $50.00

    • Floors not cleaned (per room): $50.00

    • Property removal – furniture or large item: $150.00

    • Shower/tub not cleaned (per resident): $100.00

    • Appliances not cleaned (per resident): $100.00

    • Toilet not cleaned (per resident): $100.00

    • Kitchen cabinets not cleaned: $100.00

    • Door surface not cleaned: $40.00

    • Property removal – full room or apartment: $500.00


Damage or Loss-Related Charges

    • Lost room key or set of keys: $200.00

    • Lost mailbox key only: $75.00

Doors and Locks

    • Door lock/knob repair – $50.00

    • Interior door lock/knob replacement – $135.00

    • Exterior door lock/knob replacement – $250.00

    • Interior entrance door – $320.00

    • Apartment/suite front door – $475.00

    • Apartment patio door – $585.00

    • Patio screen door – $250.00

    • Patio blinds – $150.00

    • Closet door – $150.00

Glass, Mirrors, and Windows

    • Mirror (small) – $65.00

    • Mirror (large) – $150.00

    • Window – $600.00

    • Window screen – $50.00

    • Window blinds/shade – $25.00

Lighting and Electrical Fixtures

    • Ceiling light fixture – $45.00

    • Vanity light fixture – $80.00

    • Light switch or face plate – $10.00

    • Ceiling fan – $150.00

Flooring and Surfaces

    • Carpet (per room) – $550.00

    • Carpet (per apartment) – $3,600.00

    • Tile flooring (per room) – $2,500.00

    • Painting (per wall/surface) – $100.00

    • Cosmetic damage – $25.00

    • 3M Command strip residue or damage (per item) – $10.00

Walls and Ceilings

    • Small Hole in the wall – $50.00

    • Small Hole in ceiling – $75.00

    • Ceiling tile (per tile) – $15.00

Furniture and Fixtures

    • Bed end replacement – $200.00

    • Bed springboard replacement – $500.00

    • Mattress replacement – $200.00

    • Desk replacement – $250.00

    • Desk chair replacement – $150.00

    • Dresser replacement – $300.00
