Common Charges and Fees in Housing
McKendree University strives to maintain safe, comfortable, and well-kept residential facilities that reflect pride in our campus community. To ensure rooms and apartments remain in good condition for all residents, students are responsible for the care of their assigned spaces and for any damages, losses, or excessive cleaning required beyond normal wear and tear.
The following list outlines common cleaning and damage charges. These amounts are provided for reference only. Actual costs may vary based on the extent of work, time required, materials, and vendor rates. While the Office of Residence Life typically facilitates the application of charges, final costs are often determined by the Physical Plant.
Reporting Damages and Maintenance Concerns
Residents are encouraged to report maintenance issues or damages as soon as they are noticed to prevent further deterioration or safety concerns.

Routine repairs (e.g., lights, plumbing, furniture, HVAC): Submit a Physical Plant Work Order through the MyMcK portal by selecting the Submit a Work Order tile. If you need assistance with putting in a service request, please contact Physical Plant at 618-537-6969 to speak with the Physical Plant Office Coordinator.

Urgent or emergency issues (e.g., leaks, broken locks, no heat/AC, electrical hazards): Contact the Physical Plant at 618-537-6969 during business hours.

After hours or weekend emergencies: Contact Public Safety at 618-537-6911 or the Residence Life duty phone listed in your hall.
Prompt reporting helps avoid additional damages and potential charges. Unreported issues that worsen over time may result in shared or individual billing.
Policy or Process-Related Charges
Room Condition Report Not Completed Within 72 Hours: $15.00

- Each resident is required to complete a Room Condition Report (RCR) within 72 hours of moving into their assigned space.
- The RCR documents the condition of the room at move-in and helps protect the student from being charged for pre-existing damages. A $15.00 fee will be assessed if the RCR is not submitted by the deadline.

Improper Check-In or Checkout: $150.00

- Students are expected to follow all approved check-in and checkout procedures. Instructions are typically provided through multiple formats, which may include McK email, the Residence Life website, posted bulletin boards, and/or in-person meetings.
- This charge may apply when a student does not follow required procedures, including but not limited to failing to schedule or complete a checkout appointment, failing to return keys by the required deadline, or otherwise not completing the approved check-in or checkout process.

Improper or Unapproved Stay: $150.00 per day

- This charge applies when a student occupies University housing outside of approved housing dates without prior authorization. This may include arriving before the approved move-in date or remaining in housing after the required checkout date.
- The higher daily rate reflects the additional staffing, safety, and policy enforcement concerns associated with unapproved occupancy.

Unapproved Room Change: $150.00 per day

- This charge applies when a student occupies a room, apartment, suite, or other housing space that has not been officially assigned or approved by Residence Life.
- Students who wish to move to a different housing placement must receive approval from the Office of Residence Life before making the change. Students must receive approval before moving into or staying in any space other than their assigned housing location.
