Transfer and Study Abroad Coordinator

McKendree University welcomes applications for the position of Transfer and Study Abroad Coordinator located at its Lebanon, IL campus.  This is a full-time, benefits eligible position.

The Transfer and Study Abroad Coordinator evaluates non-McKendree transcripts and determines courses appropriate for transfer.  Develops and maintains a thorough knowledge of all academic policies and procedures and serves as a resource for Faculty, Staff, and Students.  Facilitates students through a study abroad experience including managing initial student inquiries, individual planning meetings, and post-experience check-ins.  Coordinates and oversees ISA Global Ambassador activities on campus and assists the registrar, as needed.    

PRIMARY DUTIES AND RESPONSIBILITIES:

  1. Transfer Coordinator Duties
  • Evaluate non-McKendree transcripts and determine courses that are appropriate for transfer. Evaluate incoming student athlete transcripts to determine academic eligibility.
  • Research outside course content to authorize transferability from an expanding number of regional, national and international institutions.
  • Coordinate with Division Chairpersons on allowable transfer courses. Provide official program evaluations for transfer students and their Academic Advisors.
  • Develop and maintain a thorough knowledge of all academic policies and procedures of the university and serve as a resource for faculty, staff, and students with regard to those policies and procedures.
  • Assist the McKendree Worldwide programs and admission transfer representatives with unofficial transcript evaluations for prospective students.
  • Evaluate testing credit (i.e. Clep, Dantes, AP, IB) and determine the transferability of credits.
  • Using WES and ECE provided evaluations, evaluate incoming international student transcripts.
  • Maintain database of transfer credit in student academic records. Update and maintain McKendree transfer webpage.
  • Evaluate every incoming student’s student record to verify Academic Records has the appropriate documentation federally mandated (i.e. application, official transcripts, etc.)
  • Communicate with the student on any missing transcripts or other documentation that may need to be collected from the student to complete their file.
  • Maintain/update Transfer Course Equivalency database to ensure accurate and up to date auto-populated (pre-approved) course equivalencies.
  • Oversee Application for Transfer Credit forms to ensure requested course is transferable and confirm fulfillment of degree requirements with Academic Advisors.
  1. Study Abroad Duties
  • Serve as the study abroad coordinator facilitating students through a study abroad experience through ISA, IFSA, Paris School of Business, Irish American Scholars, EF college study tours, and faculty led study abroad. Facilitation includes managing initial inquiries from students, individual planning meetings with the students, and the post-experience check-ins. Group pre-departure meetings each semester for all students in program.
  • Maintain relationships with study abroad vendors/representatives. Facilitate dissemination of information to students and faculty regarding program knowledge, special offers, and scholarship opportunities.
  • Assist students with choosing classes in other countries that align with McKendree’s programs thereby blending academic advising, transfer coordination, and study abroad coordination into one seamless experience.
  • Update and maintain McKendree study abroad webpage and social media presence.
  • Coordinate and oversee ISA Global Ambassador activities on campus.
  • Promote Study Abroad on campus at various on campus events and by cultivating faculty support and interest.
  1. General Academic Records Office Duties
  • Assist the registrar in updating and maintaining articulation agreements with local community colleges and maintain those agreements in the administrative database.
  • Assist Registrar with program evaluations, including major requirements, degree requirements, application for graduation process and other policies of the college. Assist in performing senior checks as well as final verification of graduation requirements.
  • Greet students, faculty, and staff who come to the office and help resolve issues and problems that arise.
  • Assist with the preparation of Graduation Ceremonies, including planning and execution of graduate line-up.
  • Assist with planning and implementation of registration process, including pre-registration and first-year registration sessions.
  • Monitor registration wait list daily.
  • Monitor Closed Class forms amongst others submitted by students.
  • Assist Registrar in scheduling rooms for functions as requested by faculty, staff, and various campus groups.
  • Fulfill syllabus and course description requests from transferring students and/or institutions.
  • Sit on various university committees as appropriate; performs other duties assigned.

REQUIRED QUALIFICATIONS:

Bachelor’s degree or equivalent experience.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Detail oriented with ability to organize multiple tasks simultaneously in a fast-paced environment.
  • Working knowledge of various computer applications (database, word processing, and spreadsheets).
  • Strong commitment to customer service.
  • Strong oral and written communication skills.
  • Creativity, initiative and independence in carrying out responsibilities
  • Ability to work in a team environment and appreciation of service to others.

PREFERRED QUALIFICATIONS:

  • Previous experience within a Registrar’s Office at a college or university.
  • Knowledge of Ellucian Colleague software.

WORK HOURS/CONDITIONS:

Office environment; normal business hours are Monday through Friday from 8:00 a.m. to 5:00 p.m.; some overtime and weekend work required.  Physical demands: must be able to climb stairs to access files in upstairs storage rooms and to get to classrooms in most buildings; reach all drawers in a standard four-drawer file cabinet; lift 30 pounds; walk to all other buildings on campus.
