Staff Accountant - General Accounting

McKendree University welcomes applications for the position of Staff Accountant – General Accounting located at its Lebanon, IL campus.  This is a full-time, benefits eligible position.

The Staff Accountant (General) conducts day-to-day general accounting functions and supports all areas of the University to correctly process and report financial activities. The individual in this role will develop a detailed understanding of expenditure processes, fixed assets and investment reporting. This position develops efficient business processes by leveraging our enterprise system’s functionality. A thorough understanding of the chart of accounts and the ability to connect business processes to accounting practices are critical in this role. As a member of a small, cross-functional team, this position will be instrumental in contributing to changes in policies and procedures that improve efficiency and remain consistent with Generally Accepted Accounting Principles (GAAP), the directives of the National Association of Colleges and University Business Officers (NACUBO) Financial Accounting and Reporting Manual for Higher Education, and the University’s Board of Trustees policies and procedures.

PRIMARY DUTIES AND RESPONSIBILITIES:

General Accounting Activities

  • Review voucher information and checks prior to distribution.
  • Initiate cash transfers and ACH transactions as needed.
  • Initiate recurring and one-time journal entries support accurate financial reporting.
  • Review daily treasury journal entries.
  • Prepare quarterly balance sheet reconciliations. Identify and initiate correcting entries.

Fixed Asset Activities

  • Maintain the fixed asset schedule.
  • Recording additions, reductions and depreciation quarterly.
  • Manage the process to review and confirm safe-keeping of fixed assets.
  • Manage and report on the University’s renewal and replacement plan and related accounting processes.

Investment Monitoring Activities

  • Work closely with development to ensure gifts and contributions are applied to the correct fund source per donor designation. Prepare quarterly reconciliation and review with Vice President for Administration & Finance and Executive Director of Development on a quarterly basis.
  • Post investment income and gains to endowment, trust and capital campaign accounts quarterly.
  • Prepare quarterly investment report for the Subcommittee on Investments.

Reporting Activities

  • Perform periodic reviews of statement of activity accounts to ensure consistent accounting practices.
  • Assist with financial statement preparation and analysis. Support annual financial audit requests.
  • Prepares sales tax returns and unclaimed property reports.

Other duties as assigned, including but not limited to:

  • Serve as back-up for accounts payable specialist and treasury accountant.
  • Resource on best practices for all areas of the University.

REQUIRED QUALIFICATIONS:

  • A Bachelor’s degree in Accounting or other related field.
  • Three to five years of progressively responsible experience in general accounting and financial statement management.
  • One to two years of experience with Ellucian Colleague or other enterprise business system and Microsoft Office products is required.
  • Thorough understanding of accounting principles.
  • Candidates must show evidence of problem-solving, strong analytical skills, attention to detail, and strong verbal and written communication skills.

PREFERRED QUALIFICATIONS:

  • CPA and experience in not-for-profit accounting is preferred.

WORK HOURS/CONDITIONS:

Office environment; 40 hours per week, normally 8:00am – 5:00pm; some evening and weekend work may be required.
